COPIES-F.Y.I. takes security and privacy of our clients, our people, our web site, our building and our overall company environment very seriously.

Building and Equipment Statement

All physical building structures and properties of COPIES-F.Y.I. are secured with a state-of-the-art alarm system. Proper procedures are in place for employee admittance of secured structures. Safes, bank vaults and shredders are also utilized to further ensure the safety and security of any and all private information that is housed at COPIES-F.Y.I. Unauthorized admittance will be prosecuted to the fullest extent of the law.

General Computer Security Statement

Desktops, notebooks, servers and all other computer and office equipment are configured and used in a secure manner. All policies and procedures currently in use follow the strict guidelines enacted by The Health Insurance Portability and Accountability Act of 1996 (HIPAA) which was enacted to improve the efficiency and effectiveness of the health care system. Information housed on computers or other similiar equipment is of a sensitive, confidential or proprietary nature. Therefore, only authorized individuals have access to it. Liability is incurred if information is not protected using generally accepted protection methods (“due diligence”) and that information is improperly disclosed. The integrity of the system (operating system, application programs and data files) is critical. Applications must operate as expected, when expected, and the data used must be protected as outlined by our Security Policies and Procedures.

Employee Statement

All employees are required to adhere to and comply with COPIES-F.Y.I. Email and Internet Security Guidelines. Further, all office staff and personell are required to abide by the Security Policies and Procedures and attend security training in which the Computer Appropriate Use Guidelines contract is signed and dated. Non-compliance of such is grounds for immediate termination. COPIES-F.Y.I. is committed to the on-going education and knowledge of each and every employee. Appropriate training is provided for all current and incoming employees. All personnel and office staff are informed appropriately of any security threats and procedures are in place to recover in that unlikely event.

Web Site Statement

For web site security purposes and to ensure that the service remains available to all users, COPIES-F.Y.I. uses software programs to monitor network traffic to identify unauthorized attempts to upload or change information or otherwise cause damage. Unauthorized attempts to upload information and /or change information on this Web site are strictly prohibited and are subject to prosecution under the Computer Fraud and Abuse Act of 1986 and Title 18 U.S.C. Sec.1001 and 1030.

COPIES-F.Y.I. is committed to making its Web site accessible to all its customers and employees. This Web site has undergone rigorous review and redesign to ensure that it meets or exceed the requirements of Section 508 of the Rehabilitation Act of 1973.
